Matriculation, payments and cancellations

Matriculation

  • Matriculation onto a course supposes the acceptance of the general terms and conditions. If in any doubt, please contact us. We reserve all rights regarding acceptance onto courses, and will make contact regarding any decisions taken on the points in question in advance.
  • To enroll in a course, formalised confirmation of enrollment is necessary by e-mail, mail or fax. A deposit of 50€ is required to make a reservation. This deposit is not an additional cost.
  • Once you have completed your registration, you will receive a confirmation of your course and accommodation, detailed information and the invoice for your reservation. Last-minute enrollments will depend on group and family availability.

Payments

  • Full payment for the course must be made prior to the start of the course, or within the first three days of the course.

    All bank fees will be paid by the client. The actual amount received by Casa del Español will be shown on the corresponding bank receipt. Cash payments can be made at the school office, at the beginning of the course.
  • The invoice will be made reflecting the prices published in the current year. Any errors in the invoice, e-mail or letter will be corrected.

Cancellations

  • If the cancellation is communicated at least 15 days before the beginning of the course, the total price of the course will be refunded, except for the 50€ deposit. The deposit may be used as such by the same student for another course starting during the following two years.
  • If the cancellation is communicated during the 15 days prior to the course start date, the student must pay for one week of course and accommodation. The remaining balance will be refunded by bank transfer.
  • Once the course has started, total or partial cancellation of the course is not allowed. If the course has not yet been paid for, the student must pay for the entire course. We will give you the possibility to postpone the course, and the student will receive a signed, stamped and transferable document certifying this. With regards accommodation, the student must pay for 1 week.

Accommodation with a family

  • Accommodation is from the first Sunday before the start of the course until the Saturday of the last week of the stay. Arrival before or departure after these dates must be requested and approved by us at an additional cost of 23.00 Euros per day (2009 rate).
  • The price of the homestay includes sheets, blankets and towels. It also includes electricity, gas, water, heating, community bill and laundry service (once a week minimum). Full board will be provided.
  • All responsibility in relation to the Spanish families contracted for accommodation will rest with us, and any complaints, extensions or other issues related to the homestay will be dealt with by us.
  • Changing the family homestay will be possible pending our approval. We will evaluate the reasons for the change and propose an alternative family within one week.
  • Payments to families will be made via our offices. Any extension of homestay must be requested and will need our approval.

Holidays without class

January 1, January 6, May 1 and 13, August 15, September 8, October 12, November 1, December 6, 8 and 25.

Courses

Distribution of levels

  • The distribution of courses and levels is our responsibility, with this decision being made following the initial level test, interview and appraisal of the linguistic needs of each student. Levels and distribution will be determined on the first Monday of the course after the interview and placement test – this means that the student will start the course at the appropriate level at 10:00 a.m. that morning.
  • The criteria justifying these decisions will be strictly academic. The maximum number of students per group will be 8.
  • We also establish a minimum number of students in a group and it may happen that a group consists of only 1 student. In this case, the student who has booked an intensive course will receive half of the booked classes in private lessons, and the other half with the closest level group – if possible. In any case, individual negotiations will be held with the student to reach a mutually beneficial agreement.

Group change

  • Any student who considers a change of group necessary, must make a request to his/her teacher. The teachers and the Head of Studies will decide if the change is appropriate and/or beneficial to the student.

Course extension

  • Any extension of a course must be requested and approved by us, and any decision will be formally communicated to the student within 24 hours.
  • If a course is extended, the price will be calculated taking into account the total number of weeks, which will in any case be cheaper than a new enrollment.
  • Attendance on a course runs from the first Monday to the Friday of the last week of the stay. Free days to make up for any days lost will be considered by management, taking into account all available options.

Learning material

  • We will provide the necessary material, including grammar books and exercises that correspond to the student’s level. All learning materials are included in the price for intensive courses. For the extensive courses, the need for material will be agreed with the student and will be paid by the student.
  • The matriculation fee also includes access to all materials available at the school. These materials are the property of the school and must be returned before the end of the course. The departure of materials from our facilities must be communicated to at least one teacher.
  • The use of library materials must be in accordance with borrowing conditions: that is, it is forbidden to write on them; they must also be returned in the same conditions in which they were borrowed.
  • We will, as far as possible, facilitate the purchase of most of the materials if the student so desires.

Certificates

  • At the end of the course, each student will receive a certificate of attendance. To obtain this certificate, it will be necessary to attend at least 90% of the classes. The right to a certificate will be lost if unexcused absences exceed 10%.
  • The student may request a certificate demonstrating their language level. This will involve taking specific exams organised by the academic management of the school.
